How far do you travel, and how are delivery fees calculated?
We travel throughout Northeast Oklahoma and Northwest Arkansas (NWA) and are happy to accommodate events outside our standard service area when possible. Delivery fees are based on distance from our location in Tahlequah, OK. The first 15 miles are included, with an additional charge of $2 per mile after that.
Events located more than 1.5 hours from Tahlequah, OK require a minimum rental booking of $350 before delivery fees and taxes.
How does delivery and pickup work?
Delivery and pickup timeframes vary depending on rental items and our event schedule. Once your booking is confirmed, we will coordinate details with you via email or text to ensure a smooth setup and pickup around your event.
Weather / rain policy
Due to the nature of outdoor events and rental equipment, weather-related changes or cancellations must be communicated as soon as possible. Please refer to our Payments, Cancellations, and Rescheduling policy for full details.
If severe weather is expected, payments may be applied toward a future date or rescheduled event, subject to availability. Some rentals may not be suitable for rain, high winds, or unsafe conditions, and Gather the Fun Party & Event Rentals reserves the right to cancel setup if conditions pose a risk to guests, equipment, or staff.
What is required to reserve my event date?
A non-refundable 50% retainer is required to reserve your event date. No date is held until the payment is received and terms are agreed to. The remaining balance is due no later than 14 days before the event.
How many chairs will fit at a table?
6ft rectangle tables comfortably seat up to 6 guests.
60” round tables comfortably seat up to 8 guests.
Do you offer setup service for tables and chairs?
Yes! If setup is needed, an additional $0.50 per item will be added to your booking.
