Booking Policies Agreement

Effective Date: 2/4/2026

By placing an order or booking with “Gather the Fun Party and Event Rentals”, the customer acknowledges and agrees to the following Booking Policies.

1. Order Review and Acceptance

All orders placed are subject to review and acceptance by “Gather the Fun Party and Event Rentals”. Submission of an order does not guarantee availability of rental items, delivery scheduling, or service eligibility. We reserve the right to cancel, modify, or decline any order at our discretion.

Customers will be notified promptly if any changes are required.

 

 

2. Service Area Limitations

“Gather the Fun Party and Event Rentals services specific geographic areas. If an order is placed outside our designated service area, we reserve the right to:

  • Cancel the order and issue a full refund, OR

  • Offer service subject to additional delivery or travel fees

If additional fees are required, the customer will be notified and invoiced prior to order confirmation. If the customer declines the additional fees, the order will be canceled and refunded.

Our service areas include Tahlequah, Muskogee, Fort Gibson and we will generally make deliveries within a 1-2 hour distance of Tahlequah, OK.  Fees apply for any distance greater than 15+ miles of our location in Tahlequah, OK

3. Inventory Availability and Errors

While we make every effort to maintain accurate inventory availability, errors may occur due to system malfunctions, overlapping bookings, or unforeseen circumstances. If an item becomes unavailable after an order is placed, “Gather the Fun Party and Event Rentals” reserves the right to:

  • Substitute a comparable item of equal or greater value, OR

  • Remove the unavailable item and adjust pricing accordingly, OR

  • Cancel the affected portion or entirety of the order and issue a refund

In the event an item becomes unavailable after booking “Gather the Fun Party and Event Rentals” will reach out to discuss options.

 

 

4. Delivery, setup, and pickup fees

Delivery, setup, and pickup services are based on safe and reasonable site conditions.

Additional fees may apply for:

  • Difficult or restricted access locations

  • Extended travel distance

  • Stairs, elevators, long carry distances, or obstacles

  • Venue or location restrictions

  • Setup requiring additional labor or time

  • Changes to delivery or pickup timeframes

Customers are responsible for providing accurate delivery and event location details at the time of booking.




5. Post-Booking Adjustments & Additional Fees

Certain fees may not be identifiable until after order review, including but not limited to delivery adjustments, labor requirements, venue restrictions, or order modifications.

If additional charges are required:

  • Customers will receive notification and a supplemental invoice

  • Payment of additional charges is required to finalize and fulfill the booking

Failure to approve or pay additional charges within the specified timeframe may result in booking cancellation.

 

 

6. Customer Responsibility for Accurate Information

Customers agree to provide accurate and complete information regarding:

  • Event location

  • Delivery access details

  • Surface type and setup environment

  • Contact information

  • Event dates and times

Providing inaccurate information may result in additional fees, delivery delays, or booking cancellation.

Customers also agree to respond promptly to communication regarding:

  • Order confirmations

  • Delivery logistics

  • Additional required fees

  • Schedule adjustments


7. Failure to Approve Additional Charges

If the customer declines or fails to pay additional required fees within the specified timeframe (typically within 7 days of event date), “Gather the Fun Party and Event Rentals” reserves the right to cancel or forfeit the order. In such cases, refunds will be issued in accordance with our cancellation policy.

 

 

A booking is not considered confirmed until:

✔ Order has been reviewed

✔ Required payments or deposits are received

✔ Additional fees (if applicable) are approved

✔ Confirmation is issued by “Gather the Fun Party and Event Rentals”

 

 

9. Policy Updates

“Gather the Fun Party and Event Rentals”reserves the right to update booking policies at any time. Policies in effect at the time of booking will apply to that order.




Customer Acknowledgment

After payment of deposit this agreement will be emailed to the email address you provided upon booking for e-signature

By signing below, the customer acknowledges that they have read, understood, and agree to comply with the “Gather the Fun Party and Event Rentals” Booking Policies outlined above.
